Officers' Roles and Responsibilities

Those who are elected to serve as officers of the Chapter are volunteers; volunteers who have taken on significant responsibilities. They cannot completely fulfill their responsibilities without the active, informed participation of Chapter members. The roles and responsibilities of the officers of this Chapter conform with the requirements of the Society and are explained below.

President

The President is an elected officer who focuses on Chapter direction, growth, and communication.

Responsibilities

  • Leads the Administrative Board
  • Plans for leadership transition from one Administrative Board to another
  • Recruits and appoints managers to committee positions (with Board approval)
  • Provides leadership training for new Chapter leaders
  • Communicates contact information for Chapter leaders to the Society office in time for the new Administrative Directory
  • Communicates contact information for competitions managers to the Society in time for the special issue of Tieline
  • Leads the Administrative Board to create a balanced and responsible budget
  • Schedules and facilitates Board meetings

Vice President

The Vice President is an elected, voting member of the Administrative Board who works with the President to ensure the effective operation of the Chapter and its programs. The Vice President succeeds the President if that officer is no longer able to perform her or his duties.

Responsibilities

  • Assists with long–term planning for all professional development activities, including investigating new ways that the Chapter can help its members grow as technical communicators
  • Recruits and appoints managers to committee positions with Board approval
  • Supports the President in long-term planning and day–to–day coordination of Chapter activities
  • Chairs Chapter meetings if the President is unavailable
  • Chairs Administrative Boardl meetings if the President is unavailable

Secretary

The Secretary is an elected, voting member of the Administrative Council responsible for recording the minutes of each Administrative Council meeting.

Responsibilities

  • Attends monthly Administrative Board meetings
  • Receives monthly reports from Board members
  • Records and distributes the minutes of the each Board meeting
  • Posts approved minutes on the Chapter Web site

Treasurer

The Treasurer is an elected officer who focuses on Chapter finances.

Responsibilities

  • Attends Chapter Board meetings and advising the Council about financial issues
  • Prepares an annual fiscal year budget for review by the board
  • Maintains the Chapter books and records so that they can be inspected at any time by the president, the board, or any auditor named by the board
  • Authorizes and makes disbursements
  • Formulating the most advantageous methods for handling such funds as the Chapter may have available for investment
  • Submits to the Society an annual report of the Chapter’s financial status

Immediate Past President

The immediate prior, or past, president serves on the Admin Board, as required by the STC Bylaws and Chapter Handbook. Since elections occur each year, continuity between incoming and outgoing officers is essential. However, there are no formal responsibilities assigned to the immediate past president.
